Rencana Privacy Policy

1. Introduction
This Privacy Policy explains how Aizztech ("we", "us", "our") collects, uses, and protects your personal information when you use the Rencana mobile application (the "Service"). Rencana is a student planner developed and operated by Aizztech. By using the Service you agree to the processing of your information as described below.
This policy applies only to the Rencana mobile app. Other Aizztech products and websites may have their own privacy notices.
2. Information we collect
We collect only the information needed to run the Service:
- Account information — your email address, display name, and (if you sign in with Google or Apple) the profile fields those providers return.
- Academic profile — your university, faculty, course, and class group, entered during sign-up.
- Planner content — your timetable, tasks, notes, flashcards, study sessions, and study goals. This is the content you create to use the app.
- Community content — your reactions, quick messages, shared tasks, study-circle membership and posts. Shared only with the friends you explicitly add.
- Location (optional) — if you enable "Share location" in Settings → Community, we collect your approximate location while the app is open to place your pin on the community map. You can turn this off at any time.
- Device & push tokens — an Expo/APNs push token so we can deliver class reminders and task notifications you opt into.
- Diagnostics — basic crash logs and error events used to fix bugs. No advertising identifiers are used.
We do not collect or store payment card data. Subscription payments, if any, are processed entirely by Apple through your App Store account.
3. How we use your information
- Operate the planner, community, and notification features you use.
- Authenticate you and keep your account secure.
- Deliver class and task reminders at the times you choose.
- Provide AI features such as timetable import from a photo. Images you submit are sent to our AI provider only for the duration of that task and are not retained for training.
- Respond to support requests, enforce our Terms of Use, and investigate reports of abuse.
4. Who we share information with
We never sell your personal information. We share limited data only with service providers that help us run Rencana:
- Supabase — hosts our database, authentication, and encrypted file storage.
- Apple & Google — process Sign in with Apple and Sign in with Google.
- Google Classroom (optional) — only accessed if you connect your Classroom account to import assignments.
- Spotify (optional) — only accessed if you connect Spotify to share your "now playing" status with friends.
- OpenAI / Gemini — used via our secure Edge Functions for timetable-photo import and AI study helpers. Only the minimum content needed for the task is sent.
- Mapbox — renders the community map tiles. Mapbox does not receive your identity.
We may also share information when required by law, to protect the rights and safety of our users, or in connection with a business transfer (in which case the new entity will be bound by this policy).
5. How we share content with other users
Rencana lets you share specific things with specific people:
- Your profile name, university, and optional bio are visible to users you add as friends.
- Reactions, quick messages, and shared tasks are visible only to the friend you send them to.
- Study-circle posts are visible only to members of that circle.
- Your live location, if enabled, is visible only to members of the circles you choose.
6. Data retention
We retain your data for as long as your account is active. When you delete your account from Settings → Delete Account, we permanently remove your profile, timetable, tasks, notes, community content, and shared-task records from our primary database within 30 days. Encrypted backups are rotated out within 60 days.
7. Your rights
You can exercise these rights at any time, directly in the app or by contacting us:
- Access & export — request a copy of the data on your account.
- Correction — edit your profile and planner data in-app.
- Deletion — delete your account from Settings → Delete Account.
- Object or restrict processing — email us to opt out of optional processing.
- Withdraw consent — disconnect integrations or turn off location at any time.
8. Children
Rencana is intended for users aged 13 and above. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with information, please contact us and we will delete it.
9. Security
We use industry-standard safeguards including TLS in transit, encrypted database storage, row-level security policies, and audited access controls. No system is 100% secure; please use a strong, unique password and enable device passcode/biometrics.
10. International transfers
Your information may be processed in countries other than your own, including where our service providers are located (such as the United States and the European Union). We rely on standard contractual clauses and equivalent safeguards where required by law.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you in the Rencana app or by email.
